SSUP Board Meeting Minutes

1/26/09

present: Andrew, Andy, Mike, Beth, Corey, Ian, Kathy, Pam, Todd, Jen

slacking: Shannon, Will, Jon

note: 1/27 is Corey's birthday (he'll be 23)

Board Identity Discussion: (Pam and Jen):

Pam and Jen's proposal includes the following:

2-3 year term limits (after a 1 year sabbatical, you can rejoin the board). Each committee should have 2 non-board members. ("coveted non-board reps"). Each committee must have a board member. Board meetings will be members-only. The board will be pared down to 9 members.

The board will include specific jobs for the meetings (these will rotate): Facilitator (set and send agenda), Secretary (take notes, send to Ian for web site and binder), Timekeeper (to keep meetings to 90 minutes). There will be a template for the agenda, and members (and others?) can send requests for agenda items.

Mike and Corey have left the board, we thank them for their years of distinguished service to our mission. We need to drop two more board members to reach 9, and our Tournament Committee needs a board rep. Also, several of the committees will need to recruit coveted non-board reps.

Pickup (Pam):

Single gender pickup will take a week off, and pickup will start at 12 for Super Bowl Sunday.

Spring Leagues (Andy):

Shannon has stepped down as Spring League chair, so we need a new one. Spencer and Nate were nominated...

Team (Beth):

The team committee will are losing Shannon and Clint, and adding Ian and Jon. Jon, Pam, and Kathy will be our captains this year (hooray!). The board requested that the community have a way to provide input, since we won't have the Annual Planning Retreat this year. Beth will send out an email to the listserv.

Winter League (Andrew):

Here is most of an email from Andrew explaining winter league. Beth and Paul are on the committee with him. At the meeting, we talked about timing, because the league as proposed would overlap with team practice. We agreed to go with a five week schedule.

When: Wednesdays February 25 - April 22, 7-9 pm (no games March 18 or April 8) -- seven games (you play one hour, either 7-8 or 8-9)

Where: St. Martin's University (in Lacey, off of College)

Why: Because it's dry, warm, and light inside and we don't ruin any fields.  And the St Martin's gym is sweet.  We play on an NCAA logo.

Cost: About $15, subject to confirmation (that is only slightly more than the cost of parking at Evergreen!) The sole cost of the league is the cost of the facility.

Logistical Issues: This does overlap our regular start time for team practices; I have an e-mail in to our team committee chair to discuss this issue.

Team/League size: 4 people play at a time (3 men : 1 woman).  A good game-day size is 10 (8:2) which means ideally having probably 13 people on the team (10:3) due to absenses.  We would need 52 people ideally (40:12), 40 people minimum (32:8).

How is indoor different than outdoor:  Indoor is faster and there's no wind.  Play never stops (except injuries and halftime and when the game ends).  You substitute on the fly, hockey style.  So when you're in, your running constantly.  There's less clogging because there are fewer people, so you cut more.  And sub out more, as soon as you are not running 100%.  You get much more running per time spent.  Efficient frisbee!  And everyone's a handler, so it's great practice.

Game Length:  Games run 60 minutes (25 minute halves with a 5 minute halftime, plenty of time, trust me).  Two teams would play each other from 7-8 pm, and the other two teams would play 8-9 pm.

Who runs it?  We do.  No DiscNW or Oly Parks&Rec for this one.  I'm hoping to tap into Paul for all of the coordination with the school and any registrations from St. Martin's students.  Paul and I (and Beth) will talk more.  I'd do the registrations for community members.  We may do the registrations paper style (fill out form, mail it in with a check), or we may do it on-line (dependent feedback from Ian).

We need:  Players, captains, and people to volunteer to keep time and score for the game they aren't playing in.

Competitive Level:  My person vote would be to make this less competitive than fall league, but not necessarily designed for beginners like the spring league.  I think it'll be a great way to get in shape, a great way to bring a little more ultimate to St. Martin's.  I'll get your feedback on this issue at the board meeting, and baring strong opinions, Beth, Paul and I will decide.

Next Meeting

Monday, February 23rd, at Ian's house at 7 p.m.
